Job Purpose
To mainly assist the Human Resource Manager to deliver on the HR mandate by coordinating the HR administrative functions of the organization and overseeing processes of specific HR activities of the recruitment, benefit administration, welfare etc. The Assistant Human Resource Manager will perform administrative tasks and services to support the effective and efficient operations of the organization’s Human Resource department.
Responsibilities/Duties:
- Manage Onboarding activities and ensure the smooth integration of new hires into the company
- Maintain accurate and up-to-date Human Resource files, records, and documentation
- Support the HRM in the development of new policies and procedures
- Coordinate learning and development programs and initiatives that provide internal development opportunities for employees
- Provide administrative support for performance management activities and processes
- Ensure succession planning data and reports are up to date for management decision making
- Oversee employee exit processes, ensuring all items prescribed by company policy are fully covered
- Ensure all monthly HR reports including, organisation charts are completed, up to date and submitted on time
- Ensure in collaboration with IT, there is an updated company directory for ease of internal communication
- Maintain and revise the employee handbook as and when directed
- Coordinate compensation and benefits survey initiated in the department
- Update job descriptions where needed and ensure each job has a JD on company HRIS
- Oversee employee grievance & disciplinary meetings and investigations.
- Provide the necessary support for payroll management and delivery
- Coordinate the organisation of employee social events and staff durbars
- Keep abreast with changes in employment-related legislation and HR related digital innovation
- Perform other related duties as assigned
Qualification & Experience
- Bachelors’ degree in Human Resources, Business Administration, or related field required
- A minimum of three (3) years of Human Resource Management experience is preferred
- Member of an HR professional institution is preferred
- Experience in payroll support
- Experience in managing employee benefits programmes
Required Skills/Knowledge/ Ability
- Ability to keep strict confidentiality and handle sensitive matters with tact, professionalism and maturity
- Available to work outside normal working office hours, many times under stressful situations
- Good Excellent verbal and written communication skills.
- Ability to work on own initiative with minimal supervision
- Willing to travel frequently if and when required
- Excellent interpersonal skills
- Ability to keep strict confidentiality
- Excellent organizational skills and attention to detail.
- Ability to quickly learn company’s payroll management system, HRIS and other related software
